AI Call Answering for Small Business NZ: How It Works

Most New Zealand businesses are small. Business.govt.nz counts 612,417 businesses in New Zealand, 97% of them with fewer than 20 employees (year ending March 2024). In a business that size, the person who answers the phone is usually also the person doing the work. When you are under a sink, halfway through a colour, or with a patient, the phone rings out.

AI call answering is a way to pick up every one of those calls without hiring anyone. This guide explains what it is, what actually happens on a call, what it costs in New Zealand, and how to get started.

What is AI call answering?

AI call answering is software that answers your business phone and holds a natural spoken conversation with the caller. It is not a press-1-for-sales menu. The caller says what they need in their own words. The AI responds, asks follow-up questions, answers from the information you have given it, takes messages, books appointments, and hands the call to you when a person is needed.

Think of it as a receptionist who is available at every hour, never has a second caller waiting, and costs a fraction of a salary. It does not replace you on the tools. It makes sure the call that comes in while you are on the tools is answered, understood, and written down.

What happens on a call with KiwiAgent

1. The call comes in

You either divert your existing number to the NZ number that comes with your plan, or you publish the new number directly. Diverting takes a minute on most NZ mobiles. See how to divert business calls on Spark, One NZ and 2degrees.

2. The AI answers with your greeting

You write the greeting. It names your business and lets the caller know they are talking to an AI assistant. Callers respond well to that honesty, and it sets the right expectations. Our greeting script examples include several you can adapt.

3. It works out what the caller needs

A new job, an existing booking, a question about pricing, an emergency. The AI listens for the reason for the call and follows the rules you have set for each.

4. It answers from your knowledge base

Services, prices, service areas, opening hours, what you do not do. Whatever you put in the knowledge base is what it can answer. Change it any time and the next call uses the new version.

5. It takes action

It can book a time into your calendar, take a detailed message, or transfer the call to you. Transfers are warm: you hear who is calling and why before you take it.

6. You get the record

Every call is recorded and transcribed, and you get a written summary in your dashboard. Nothing relies on you remembering a voicemail.

What it can and cannot do

An honest list matters more than a long one.

  • It can answer several calls at the same time. Even the Starter plan answers up to three at once.
  • It can work after hours, on weekends, and over the Christmas closedown, following different rules for each if you want.
  • It can follow your rules for what to book, what to quote, and what to escalate.
  • It can send SMS confirmations if you connect your own Twilio account through the integrations page.
  • It cannot turn up to the job or make judgment calls you have not given it rules for.
  • It will tell callers it is an AI. We do not pretend otherwise, and neither should you.

Who it suits

Any business where the owner answers the phone, and especially service businesses where a missed call is a missed job:

  • Plumbers and electricians: emergency callouts and quote requests while you are on site
  • Hair salons and beauty clinics: bookings and reschedules during appointments
  • Restaurants and cafes: reservations and enquiries during service
  • Medical, dental and allied health practices: appointment management with a consistent, polite front desk
  • Cleaning, property and trades businesses of every kind

Getting started: a free pilot, set up for you

We set up every new business ourselves, so you do not need to learn a dashboard before your first call is answered.

  1. Tell us about your business through the contact form: what you do, your hours, and how you want calls handled.
  2. We build your agent with your greeting, services, pricing, hours, and the questions callers ask most.
  3. Divert your number to your new KiwiAgent number, or start using the new number directly.
  4. Test it by calling from another phone. Tweak anything that is not quite right.
  5. Go live. The Free plan includes 30 minutes of answering every month, with no card required.

What it costs in New Zealand

All plans are billed in NZD, and prices exclude GST.

PlanPrice per monthIncluded minutes
Free$030
Starter$49100
Pro$149300
Business$349800

Extra minutes on paid plans are a flat $0.49 each. For a fuller breakdown of what drives the price, including how overseas tools bill in US dollars, read our AI receptionist pricing guide for NZ.

Working out whether it pays for itself

Do not trust anyone's average, including ours. Use your own numbers: how many calls you miss in a typical week, what a typical job is worth, and roughly what share of missed callers would have booked.

For example, if you miss three calls a week and one in three of those would have become a $200 job, that is about $800 of work a month that went somewhere else. Against a $49 Starter plan, the maths is not close. If you miss one call a month and most callers leave a voicemail and wait, it may not be worth it yet. The missed call calculator does this arithmetic with your inputs.

AI call answering vs hiring a receptionist

If you already employ a receptionist, the AI usually earns its place as overflow and after-hours cover rather than a replacement.

Next step

The quickest way to judge it is to hear it. Talk to the demo agent on our homepage, or tell us about your business and we will set up your free pilot.

Frequently asked questions

Does the AI tell callers it is an AI?
Yes. The greeting you write introduces it as an AI assistant for your business. Being upfront sets expectations and keeps you on the right side of your callers.
Do I need a new phone number?
No. Every plan includes a New Zealand number, and you can divert your existing number to it so customers keep dialling the number they know.
What happens if the AI cannot help a caller?
You choose the fallback: transfer the call to you or an on-call number, take a detailed message, or request a callback. Every call is transcribed and summarised either way.
Is there a contract?
Monthly plans are month to month and can be cancelled any time. The Free plan gives you 30 minutes of answering every month with no card.
